CONSTITUTION AND BY-LAWS OF THE ACADEMY OF THE HOLY FAMILY

ALUMNAE ASSOCIATION

PREAMBLE

The graduates of the Academy of the Holy Family at Baltic, Connecticut, being desirous of fostering a love for their Alma Mater, agree to form an Alumnae Association, and for its government do hereby adopt the following Constitution and By-Laws.

CONSTITUTION

ARTICLE 1:  NAME AND PURPOSE

SECTION 1:  The Name and Title of this Association shall be the Academy of the Holy Family Alumnae Association, under the Patronage of the Holy Family.

The Purposes of the Association are:

  1. To uphold the principles and ideals of the Academy of the Holy Family.
  2. To further the interests of our Academy of the Holy Family by recommending the school to future prospective students, encouraging them to attend.
  3. To foster a closer union among the students, former and present, of the Academy of the Holy Family.
  4. To offer from time to time aid and support in gratitude to our Alma mater.
  5. To promote and support Catholic Education.

ARTICLE II:  BOARD OF GOVERNMENT AND ELECTIONS

SECTION I:  The officers of the Association shall consist of a President, a Vice-President, a Recording Secretary, a Corresponding Secretary, and a Treasurer.  Said officers shall hold their positions for a term of three years.  The out-going President shall act as ex officio for a period of one year.
SECTION II:  The Executive Board shall consist of the Officers, the Principal of the Academy of the Holy Family and an Executive Committee of six members.
SECTION III:  Three members of the Executive committee shall be elected at the Annual Meeting.  They shall hold office for three years.
SECTION IV:  The Executive committee of six members shall serve as a nominating Committee whose duty it is to present the slate of Officers including the names of three members to serve on the Executive committee at each Election.  These names are then presented at the Annual meeting as a slate to be voted on at that meeting.
SECTION V:  Candidates for the various offices shall be declared elected on receiving a majority vote of the members present.

ARTICLE III:  DUTIES OF OFFICERS

SECTION I:  The President shall preside at all regular meetings and may call special meetings.
SECTION II:  In the absence of the President, the vice-President shall preside; in the absence of the Secretaries, the Treasurer shall act as Secretary; in the absence of the Treasurer, the Recording Secretary shall act a Treasurer.
SECTION III:    The Recording Secretary shall keep an impartial record of the motions made and carried and shall read the same at the next meeting.
SECTION IV:  The Corresponding Secretary shall notify members of their appointment to committees; shall inform members of meetings at least three weeks in advance and shall make arrangements for the annual reunion.
SECTION V:  The Treasurer shall pay all bills ordered paid by the members in meeting; shall be responsible for maintaining ledgers of accounts receivable and accounts payable of all business transactions and shall read or present in print the same at the annual meeting.
SECTION VI:  The Executive Board shall have general management of the affairs of the organization and members must attend three of the four quarterly meetings to remain an active member.

ARTICLE IV:  CONDTION OF MEMBERSHIP

SECTION I:   All graduates of the Academy of the Holy Family and students who have been in attendance for two years are entitled to membership in the Association.
SECTION II:  Students who have been expelled from the Academy are not entitled to membership, nor are they entitled to any benefits of the Association.
SECTION III:  The members shall consist of two classes, Active and Honorary Members.  The faculty of the Academy are entitled to Honorary Membership as well as those students of the Academy who have entered a Religious Congregation.
SECTION IV:  Honorary Members shall be exempt from all fees and from attendance at meetings, but their presence at the meetings would promote the welfare of the Association.

ARTICLE V:  MEETINGS

SECTION I:  The Annual Meeting of the Association will be held on the Sunday after Eater Sunday at the Academy of the Holy Family, Baltic, Connecticut.
SECTION II:   A meeting of the Executive Board shall be held previous to the Annual Meeting.
SECTION III: Upon request of the Executive Committee, the President may call a special meeting in the interests of the Association.
SECTION IV:  Order of business at the Annual Meeting:

  1. Call to order by the President.
  2. Prayer.
  3. A printing of the minutes of the last Annual Meeting by the Recording Secretary is to be submitted to all members for approval.
  4. Report of the school affairs by the Principal.
  5. Report of Special committees.
  6. Unfinished Business.
  7. Election of Officers and/or Executive Committee members as deemed necessary by our By-laws.
  8. Appointment of Committees.
  9. New Business- Welfare of the Association.
  10. Prayer for deceased members and their families and for all our living members especially those who have asked for our prayers during the year.
  11. Adjournment with Prayer.

 

BY-LAWS

SECTION I:  The foregoing Articles and their Sections may be amended or repealed on a two-thirds vote of the members present at the Annual Meeting.
SECTION II:  A meeting of the Executive Board shall be held prior to the Annual Meeting.
SECTION III:  The President may call Special Meetings in the interest of the Association.
SECTION IV:  A quorum of the Executive Board shall consist of five (5) members.
SECTION V:  A quorum of the Alumnae Association Annual Meeting shall consist of ten (10) members.
SECTION VI:  Members are reminded that Masses are offered annually for all living and deceased members of the Association.
SECTION VII:  Members are urged to support the social activities sponsored by the Academy of the Holy Family and by the Alumnae Association.
